Post title: Receptionist / Administrator 

Reports to: Head of Education 

Purpose of Job: The Fashion-Enter Receptionist/ Administrator will provide proactive, accurate and efficient support to the the Fashion Technology Academy education team. The post holder will play a key role supporting the growth and prosperity of the department, working closely with a range of stakeholders including the core team, tutors, students and retail partners.

The Receptionist/ Administrator must thrive in a small and busy team. The Receptionist/ Administrator will be someone who is willing to learn, who is not afraid to try new things and learn from experience.

Main Duties and Responsibilities: 

Reception duties:

  • Greet students, staff and visitors, give them directions and answer first line queries
  • Answering all incoming phones calls and forwarding them to the correct departments
  • Make note of all left messages for call backs 
  • Accepting and managing all postal deliveries 
  • Deal with emails and student enquiries
  • Receive deliveries, distribute mail and frank letters for posting
  • Report problems
  • Purchase stationery and other items
  • Check photocopiers, call engineers if necessary and issue user codes
  • Organise and file facilities documents
  • Undertake other duties relating to the efficient and effective management of the area consistent with the post responsibilities, or as may reasonably be required from time to time
  • Visits to DWP to generate leads for JCP learners
  • Paperwork and audit trails for DWP and other associated programmes
  • Updating FashionCapital with news and snippets for Education and Learning
  • Supporting technicians if required

Learners Boarding:

 Assist with the recruitment, enrolment and induction of Apprentices by: 

  • Liaising with retailer partners to list Apprenticeship vacancies on internal and external channels 
  • Updating and maintaining learners’ talent bank 
  • Booking resources for assessment centres and acting as point of contact 
  • Conducting telephone eligibility screenings with potential learners and Apprentices
  • Creating enrolment paperwork packs for learners 
  • Assisting and supporting the Enrolment process 
  • Ensure all paperwork is accurate, complete and filed correctly in line with GDPR 
  • Planning the agenda for Programme launch days with the support of the wider team 
  • Collaborate with the registry and MIS team to ensure students are registered and enrolled on the Admissions systems, and wider online resources where necessary 
  • Arrange and monitor initial assessments for learners 

Programme Delivery 

Support the delivery of programmes by: 

  • Collate monthly learner reports including stats and feedback on learner progress and attendance 
  • Help to ensure the college reception is tidy and welcoming
  • Liaise with delivery teams to ensure programmes run efficiently

Qualifications

  • Education up to Level 2 (level 3 desirable).

Knowledge, Understanding and Experience

  • Experience of working with customers
  • Experience of working in an office environment covering a range of administrative functions
  • Use of computer software in a business environment
